Enrollment/Degree Verification 

  • Third party: Please use the National Student Clearinghouse to verify student enrollment/degree confirmation.
  • Students:  
    • Log into The Rock
    • Click on Student tab
    • Click on National Student Clearinghouse Enrollment Verification in the center column.  This option allows a student to print a certificate of enrollment, view enrollment information, view electronic notification, deferment forms, view a list of your lenders and link to a real-time student loan information detail.

  • You may request that Admissions fill out the form.  Bring a legally issued picture ID (state driver’s license or ID) along with the form to Admissions.
  • Or you may fax the form with a copy of your picture ID to 303.989.6919
  • Make sure you fill out your portion of the form.

FERPA – Privacy Notification

Below is information on Directory Information and release of your personal information.  For more detailed information regarding FERPA (the Family Educational Right and Privacy Act of 1974) related to student, parent and staff/faculty, you may go to the Federal Government's web site.

  • The Family Educational Rights and Privacy Act of 1974 (FERPA) permits RRCC to release Directory Information about you to interested parties. Directory Information is limited to the current academic year only. This does not include grades but does include:
      • Your name
      • Major field of study
      • Participation in officially organized activities and sports
      • Dates of attendance
      • Enrollment Status (full, part-time)
      • Degrees, certificates and awards received
      • Most recent previous education and educational institution attended
  • If you do not want the college to release directory information about you without your specific consent, sign a directory restriction form in Student Records or print out here. Your directory restriction for non-disclosure will remain in effect until you cancel the request.
  • If you would like to give permission to a family member or another third party access to your information, you can download and complete the FERPA (permission to release educational records) form.
      • This form can be completed in two ways
        • The student can sign the form in person in front of a Student Record or Admission RRCC staff member.
        • The student can have the form notarized by a notary public and the original returned to Admissions or Student Records.

Grades

General Questions

Grades are posted to your transcripts after the term is completed.
If a grade is missing first contact the instructor. If that doesn’t help, then contact Instructional Services.
 

We do not mail end-of-term grades to your home. You can view your grades and your unofficial transcript using your student portal access through “the Rock”.

  • Phi Theta Kappa (PTK) designation is located on the top left of your transcript. This should begin showing from the semester of your initiation. A PTK sticker is also attached to your diploma at the time of graduation.
  • The Honors List recognizes those who have achieved an outstanding level of academic success at RRCC. The Honors List designation is recorded on your official academic transcript, and you receive recognition during the college’s annual graduation ceremony. The Commencement Program Honors List designation is based on the cumulative GPA achieved after the successful completion of all degree/certificate requirements. This award is based on your cumulative GPA for your graduating semester (summer/fall) and at the close of the preceding semester for spring graduates.  Qualifications for this list include:
    • Earned, for all credits, a cumulative GPA of 3.85 (or higher) in your graduating term.
    • All Honors List graduates participating in the ceremony are eligible for the medallion.
    • Taken at least 15 credits at RRCC for a degree and at least 50% of required coursework for a certificate at RRCC.
    • Completed requirements for any degree.
    • Completed the requirements for any certificate containing at least thirty credits or more.
    • Completed and submitted a graduation application by the specified due date.
    • If you do qualify, please notify Student Records. Medallions are available at Student Records or can be picked up at the Rehearsal and can be worn at the ceremony.

Personal Information Changes

If you want to change your name, address, phone number, major area of study or need to correct information such as your social security number or birth date, please complete the process below.  NOTE: Name and social security changes must be processed through Human Resources if you have ever worked as a RRCC employee this includes both student work study and hourly.  Address changes should be processed in Admissions and Human Resources.

    • Fill out the Demographic Change Form
    • Return the demographic change form to Student Records or Admissions.    
    • Please be sure to include the proper documentation to verify the need for change.  If you plan on making these changes in person, please bring a government issued photo ID or RRCC student ID card.  Without this, we cannot access your information. 
      • Name Change – government issued photo ID (popular forms of ID are driver’s license or passport or legal paperwork for the name change).  NOTE: You must have a social security card with your new name if you are changing this in Human Resources.                   
      • Social Security Change – government issued photo ID or RRCC student ID and your social security card.
      • Date of Birth Correction – government issued photo ID showing your birth date or RRCC student ID and your Birth Certificate.

      • Change of Address – You have two options:
        • In person – Meet with Karla LeComte in the Admissions office.  You will need to bring your government issued photo ID or RRCC student ID for verification.
        • Email – You can email Karla LeComte from your student issued email account and request a change to your address.  You will need to include your student ID number as well.
      • Change of Degree Program
        • Changing your degree program could affect your veterans or financial aid funding.  Please notify them of any changes.

          You have three options:
          • In person – Go to the Admission desk with your government issued photo ID or RRCC student ID and complete a demographic change form
          • Email – You can email Admission from your student issued email account and request a change to your degree program
          • Fax-Fax the Demographic Change Form plus an enlarge copy of your photo ID to Admissions. Fax: 303.989.6919

Transfer Credit Evaluation

If you are pursuing a degree or certificate and wish previous college credits to be considered for transfer, submit official transcript(s) to Student Records no later than the semester preceding graduation.

Official transcripts may be mailed directly from your previous college(s), emailed from your college or they may be hand carried in a sealed envelope.  If you open the envelope it will be considered unofficial.

Note: Consult the “Credit for Prior Learning Handbook” for information on alternate forms of learning  that might be eligible as college credit.

Our process for evaluating transcripts

  1. Transcripts for first time students to RRCC will have their transcript evaluated after the census date of their first semester.
  2. Credits will be transferred based on the Degree/Certificate you are pursuing.

    If you change your degree program, be sure to let us know.  We will then conduct another evaluation. Note: We cannot remove credits that have already been posted .  We will only bring in credits that are applicable to the degree/certificate  program you are pursuing.

  3. Once the transfer evaluation is complete, you can review the results by accessing your unofficial transcript online. 
    • Log into The Rock
    • Click on Student tab
    • Click on Unofficial Transcript in the My Student Information section

 
Pre-requisites process
There are a few ways to fulfill pre-requisite requirements at RRCC. 

  • You can take the Accuplacer placement test.
  • Send ACT/SAT scores to the assessment center
  • Prove you have taken the required pre-requisite at another accredited institution by providing us with your official transcript. 

You may begin with an unofficial transcript to be used to override a pre-requisite which would allow you to register for classes.

We will then need an official transcript. If you do not send an official transcript a registration and transcript hold will be placed on your student account.

Official transcripts may be mailed directly from your previous college(s), emailed from your college or they may be hand carried in a sealed envelope.  If you open the envelope it will be considered unofficial.

Transcripts from RRCC

General Information

There are two kinds of transcripts:

  • Official - This transcript is printed on official paper with the Registrar’s signature, sometimes called “sealed”. It is placed in a sealed envelope and is considered official as long as the envelope is not opened.  Some colleges will accept a hand carried “sealed” (unopened) copy. Other colleges will only accept transcripts sent directly from the previous college.
  • Unofficial - This transcript is printed on the official paper with the Registrar’s signature.  If left in an open envelope is considered unofficial.  Many jobs and scholarships will accept an unofficial copy. A student can also get a copy of their transcript from their RRCC web page. This copy has a slightly different format and information.  It prints on white paper from any printer.

                        ALWAYS check with the receiving college to see which copy they will
                         accept.

  • We do not need written permission if the transcript is being sent to another school. You may call or email to request this type.  
  • Transcript requests are typically processed the same day they are received. However, please allow 3-5 business days for processing. 
  • You may still order your transcript if you have forgotten your student ID number. Make sure you have listed the name you used while at RRCC, your birth year, a phone number and other required information.
  • Make sure your contact information is clearly spoken or written. Many times we need to contact you and the phone number is not clear or the phone message is either missing a number or not clear.
    Cell phones do blank out numbers; please repeat your phone number twice.

How to order a transcript

    There are a few ways you can order an official transcript from RRCC.

    1. Complete the Transcript Request Form
      Please be sure to sign and date the form before returning. The form can be scanned and emailed, faxed, mailed, or hand delivered.  Here is the contact information for returning transcript request forms.

    2. If you are a current student, you can request an official transcript through your student portal called “the Rock”.  Go to the RRCC home page

      - Log into The Rock
      - Enter your student ID number using a capital “S” and your password. 
      - Click on the Student tab
      -Click on "Request Official Transcript" in the "My Student Information" section

    3. Students who have not attended RRCC for a year or more cannot request a transcript through The Rock.  You can request a transcript following the process outline above in Number 1, or you can enter the student system by clicking here.
    4. Students with academic records at RRCC beginning before summer of 1987, need to order their transcript by using the paper form. These previous records do not show in the online system. The prior history transcript will be printed with your transcript request.

Additional Information regarding transcripts

    • There is no charge for transcripts that are picked up, faxed or mailed by first-class mail. There is a $20 charge for transcripts requiring Federal Express (FedEx) overnight services. You must provide a physical address and a phone number. FedEx will not deliver to a P.O. Box. Student Records must receive the completed request by 11:00 a.m. (MST). Requests received after this time will be mailed by the requested method the next business day.
